Sync is a B2B project management web app that connects various roles within a project. Our primary goal in designing this app is to consolidate and present all project information in a highly accessible manner.

  • Foster efficient communication and coordination among team members

  • Create an intuitive and easy-to-navigate interface

  • Gather and present project data comprehensively

Goals:

  • Enhanced User Productivity: Quick Access to Key Features, personalization, and customization features that allow users to tailor the app to their specific needs.

  • Visual Clarity and Information Presentation: Utilizing charts, graphs, and visual cues, that make it simple for users to interpret complex project metrics.

Responsive and Adaptive Design: This adaptability enhances visual clarity and readability, allowing clients and users to access and interact with project information.

Project’s main Outcomes:

What is the Problem?

In large project teams, stakeholders often face challenges in tracking project progress and making informed decisions due to the overwhelming volume of project-related information, including documents, updates, and metrics. The current tools and systems fail to provide effective mechanisms for filtering and extracting actionable insights from this data, resulting in missed deadlines and delays in project execution. So The business decided to design and develop a cloud-based software for businesses in which all the data are gathered in one tool without manual effort in updating and processing data.

What Challenges we might face in the design process?

Step three - Develop
  • Ability to manage different groups that are involved in the project

Solution: Give users the opportunity to choose which projects they want to control and manage at the login part

  • Balancing Complexity and Usability in Feature-rich Software

Solution: Design a toolbar in which users can access the differed features through a bar in which they can access various parts of the platform.

  • In the most available software, the assigned tasks and future plans are shown to the end user while the sub-tasks and people assigned the tasks are not available for everyone.

Solution: Show task hierarchy in which users can see who assigned the task and who must do it.

The main Ideas of design is:

Step One - Discover

Design Process

For the user research, we targeted 4 main groups as this project provide services for different roles within a company:

1- Project Managers

3- Team Leader

2- Business Owners

4- General Users

Step two - Define

What results we achieved through user researches:

  • Comprehensive Reporting and Analytics: Develop robust reporting and analytics capabilities that provide stakeholders with valuable insights into project performance, key metrics, and resource utilization.

  • Enhanced Collaboration and Communication: Incorporate features such as chat or messaging functionality, real-time updates, and file-sharing capabilities to foster effective information-sharing and decision-making.

  • Intuitive Navigation: Design an interface that allows users to access all features and information without the need for extensive filtering or searching.

By analyzing their pain points, needs, and goals, I synthesized the common challenges and expectations faced by this persona. Incorporating the insights from this persona into the design process will ensure a user-centered approach, addressing user’s specific pain points, and meeting their needs for improved project tracking, enhanced collaboration, scalability, and data-driven decision-making.

Persona

  1. Creating a well-structured task hierarchy is essential for streamlining project management and facilitating easy tracking of progress. This enables project managers to promptly address any issues that may arise during the project.

2. The web app boasts an accessible toolbar design, granting users swift access to any part of the application they need.

3. The platform features a convenient Time Tracker option, allowing users to effortlessly monitor the project's daily progress with just one click at any desired moment.

Step Four- Deliver

Usability test

What did our users and stakeholder think about the home page?

High fidelity Design

Here are some examples of our design ideations through the process to solve some problems we discovered during the research stage.

The objective was to enhance users' accessibility to various sections of the web app, ensuring a quicker and more efficient overview of the project and its progress. To achieve this, dedicated sections were created for each part and feature, providing a concise summary of tasks and their respective progress locations.

Recognizing the prevalent issue among project users struggling with time management and planning for upcoming meetings, our solution entails crafting a time tracker. This innovative tool aims to present a clear overview of essential future events, ensuring users are well-prepared and informed about the meetings they must attend and the necessary preparations for each.

In the task hierarchy, users are provided with the opportunity to access specific parts of the project, enabling them to track the completion status and current stage of each individual task.

Reflection

What did I learn from this project?

  • When designing, it is essential to strike a well-rounded balance between the users' needs and the stakeholder's marketing strategy.

  • Furthermore, proficiently communicating with team members and adeptly handling challenging situations are crucial aspects of effective leadership.
